Do you want a key role in a growing administration that makes a difference in the everyday life of Gothenburg's citizens? The Sports and Associations Administration is on an exciting growth journey with more assignments, increased responsibilities, and high ambitions for the future.

As our current committee secretary moves on to new challenges, we are now looking for a new colleague who wants to take responsibility for and further develop a central and qualified function in the organization. As a committee secretary, you have a central role in the administration with overall responsibility for the committee process. You work closely with the head of administration, the presidium, and the committee's politicians and serve as secretary at presidium and committee meetings.

You will belong to the newly formed unit for secretariat and communication. The secretariat function has an overarching responsibility for managing, coordinating, and supporting the work within case management, registration, and archives. This means ensuring that cases are prepared and handled legally and uniformly, providing support for the correct handling of public documents and registration, and developing and quality-assuring the archive process so that information is preserved, disposed of, and made accessible according to law. The unit is part of the Development and Governance department, which has a strategic and coordinating function across several administrative areas. The department is responsible for IT, security, communication, environment, digitalization, and secretariat.

Responsibilities

Your tasks include coordinating and administrating cases to and from the committee and presidium, as well as ensuring a legally secure, efficient, and modern committee administration. You provide qualified support to managers and case officers in handling issues related to service statements, committee processes, and municipal law, and act as an expert and sounding board in these matters.

You are responsible for keeping guidelines, routines, and governing documents within committee and case management up to date and communicating them within the organization. The role also includes monitoring the external environment and keeping the administration updated on relevant legislation, preparatory work, court rulings, and guidelines.

Additionally, you will:

  • Train case officers in case and committee management
  • Participate in internal and external networks
  • Work on the development of the committee process and digital working methods
  • Be responsible for or participate in investigations, projects, and special assignments as needed

Qualifications

We are looking for someone who has:

  • Relevant university or college education, for example in public administration, law, social sciences, or other education deemed equivalent by the employer
  • Several years of experience working as a committee secretary or in a corresponding qualified role within public service
  • Good knowledge of municipal organization, committee processes, and public access and confidentiality legislation
  • Very good ability to express yourself in speech and writing in Swedish
  • Good IT skills and experience with electronic case and document management

It is an advantage if you have experience from the City of Gothenburg or another larger public organization.

As a committee secretary, you are self-driven, structured, and meticulous with a good overall perspective. You are confident in your role, have the courage to take the lead on your issues, and enjoy working closely with both politicians and civil servants. You are service-oriented, flexible, and collaborative, while also possessing strong analytical skills and a development-oriented approach. Since committee work is governed by clear deadlines, you need to be resilient to stress and have a good ability to prioritize. You share the City of Gothenburg's values and contribute to a professional and respectful work environment.
